Terms and Conditions

1. General Risk Notice

Traveling in remote and high-altitude regions involves certain risks, including altitude sickness, injury, flight delays, and natural conditions beyond our control. While we take all reasonable precautions to ensure safety, Swargadwari Travels and Tours Pvt. Ltd. cannot be held responsible for events caused by nature, weather, political situations, or other unforeseen circumstances.

By booking with us, you agree to accept these inherent risks.

2. Booking Terms

  • Clients must confirm their booking by completing the booking form.
  • A 20% advance deposit of the total trip cost is required to confirm the reservation.
  • The remaining balance must be paid 30 days prior to departure.
  • Payments can be made via cash, bank transfer, credit card, or cheque.
  • Bank/card processing charges may apply.
  • Failure to pay the remaining balance on time may result in cancellation, and the deposit may be retained.

3. Travel Insurance

  • Comprehensive travel insurance is mandatory for trekking and adventure activities.
  • Insurance must cover:
    • Emergency medical treatment
    • High-altitude rescue and evacuation
    • Trip cancellation
    • Personal accident coverage
  • Clients without valid insurance may not be allowed to join the trip.

4. Cancellation Policy

If the client cancels the trip:

  • 60 days before departure: Deposit retained
  • 30 days before departure: Deposit + 40% of total trip cost retained
  • 15 days before departure: 100% of total trip cost retained

If the company cancels the trip due to unavoidable reasons:

  • Client will receive full refund, or
  • Option to reschedule to another trip

Additional expenses such as flights, visas, or personal costs are not covered.

5. Midway Cancellation

If a client leaves the trip after it has started for personal reasons (health, visa issues, personal decisions, etc.), no refund will be provided for unused services.

6. Itinerary Changes

  • The company reserves the right to modify the itinerary due to weather, safety, or operational reasons.
  • Alternative arrangements will be made where possible.
  • Additional costs due to client-requested changes must be paid by the client.

7. Personal Belongings

Clients are responsible for their personal belongings.
We recommend:

  • Carrying valuables personally
  • Insuring expensive equipment
  • Keeping travel documents safe

The company is not liable for loss, theft, or damage.

8. Unforeseen Circumstances

In case of political unrest, natural disasters, strikes, flight cancellations, or weather conditions:

  • Alternative arrangements will be suggested
  • Refunds apply only for unused services where possible
  • Extra costs must be borne by the client

9. Complaints

Any complaints must be reported immediately to the tour leader or office representative.
If unresolved, a written complaint must be submitted to management for review.

10. Medical Condition

Clients must:

  • Be physically fit for travel or trekking activities
  • Inform us of any medical conditions beforehand
  • Carry necessary medications

We reserve the right to refuse participation if a client is medically unfit.

11. Liability

The company is not responsible for:

  • Weather delays
  • Flight cancellations
  • Natural disasters
  • Political issues
  • Transport accidents
  • Government restrictions

12. Unused Services

No refunds will be provided for:

  • Late arrival
  • Early departure
  • Voluntary trip withdrawal
  • Missed activities

13. Privacy Policy

  • Client information will be kept confidential.
  • Personal data is used only for travel arrangements.
  • The company may use trip photographs for promotional purposes.
  • Personal information will not be sold to third parties.
